This role requires you to be in the office three days per week, with the option to be based in either Munich or Berlin. If you are located elsewhere in Germany, remote work is also possible.

The Payroll Implementation Specialist is responsible for managing standard and moderately complex payroll implementations, ensuring projects are delivered on time and to a high standard. This role supports continuous improvement within the team, contributes to process optimization, and acts as a resource for less experienced colleagues. Specialists collaborate closely with cross-functional teams and play a key role in maintaining a positive experience for customers throughout the implementation journey.

Role Responsibilities: What you'll do

  • Independently manage project timelines and deliverables for standard and moderately complex payroll implementations.

  • Prepare and maintain accurate project documentation, including Blueprinting materials and handover notes.

  • Identify and escalate risks or delays early, working with team members or the Lead to resolve issues and maintain high-quality outcomes.

  • Support seamless handovers to Payroll Support by sharing best practices and addressing challenges.

  • Participate in retrospectives, share lessons learned, and contribute to ongoing process improvements.

  • Mentor and coach less experienced team members on payroll implementation best practices.

  • Serve as a go-to person for resolving day-to-day implementation challenges.

  • Collaborate with functional stakeholders to address challenges and ensure alignment.

Role Requirements: What you need to succeed

  • Experience:

    • Typically 2–4 years in payroll implementation or a related customer-facing payroll role.

    • Demonstrated ability to independently manage standard and moderately complex payroll implementation projects from initiation to close.

    • Exposure to process improvement activities and participation in retrospectives or team enablement sessions.

    • Experience collaborating with cross-functional teams and supporting less experienced colleagues.

    Technical Skills:

    • Solid understanding of payroll implementation processes and workflows.

    • Proficiency in project management tools (e.g., Rocketlane, Jira, Asana) for tracking timelines and deliverables.

    • Competence in preparing and maintaining project documentation, including Blueprinting materials and handover notes.

    • Familiarity with risk identification and basic mitigation strategies within implementation projects.

    • You’re a native German speaker (or equivalent C2 level) and fluent in English (business language).

    Soft Skills:

    • Excellent organizational and time-management skills to manage multiple projects and competing priorities.

    • Effective communicator, able to clearly share updates, risks, and needs with both technical and non-technical stakeholders.

    • Collaborative team player who supports colleagues, shares knowledge, and seeks input when needed.

    • Open to feedback and committed to personal and professional growth.

    • Proactive in raising concerns and suggesting improvements.

At Personio, we value in-person collaboration while also offering flexibility. This role is office-based, with 3 days per week required in your contracted office location. The remaining days can be worked from home or in the office if you prefer. In addition, you’ll have 20 Flex Days per year to work remotely from other locations.
