This position is office-based (hybrid) in either Munich, Dublin or Berlin.

Our Customer Experience team thrives on collaboration, working closely with teams across Personio to ensure that customer voices are at the heart of everything we do. We are dedicated to understanding and advocating for our customers, using data-driven insights to shape our customer experience strategies and influence what we build.

As a Resource Allocation Manager, you'll ensure the right personnel, equipment, and tools are assigned to Personio implementation projects at the right time to optimize productivity and ensure customers are successfully onboarded. You'll oversee resource scheduling, capacity planning, and utilization tracking across our Professional Services and Payroll Operations teams, bridging the gap between project demands and available resources. When necessary, you will also lean into scheduling practices across other teams like Customer Support.

Role Responsibilities: “What You’ll Do”

  • Skill-Based Allocation: On a daily basis, you help assign the right people to the right projects based on expertise, availability, and professional development goals.

  • Strategic Planning: You coordinate staffing and material needs based on project pipelines and inputs from our Go to Market forecast. You flag gaps between available capacity and allocation demands that show need for enablement or hiring.

  • Customer Satisfaction and Compliance: You accommodate the requirements from our customers’ commercial contracts, specific implementation needs, and agreed delivery schedules.

  • Bottleneck Management: You identify and resolve scheduling conflicts, such as overbooked staff, to maintain project timelines.

  • Optimization: You monitor and report on resource utilization rates to prevent burnout and ensure maximum efficiency.

  • Collaboration: You work with team leads, the Senior Director of Professional Services, and Payroll Operations leadership to assess requirements and adjust resources as needed. This may also involve working with the Engagement Manager to ensure inputs provided by Go To Market support efficient allocation processes

  • Continuous Improvement: You iterate on the resource allocation process by improving the usage of existing tools or leveraging AI to drive efficiencies.

Role Requirements: “What You Need to Succeed” 

  • You have proven experience of 3+ years in resource planning, scheduling, or operations management, ideally in a SaaS or B2B environment.

  • You have strong communication skills, demonstrating an ability to engage with different stakeholder groups in a targeted, concise and professional manner.

  • You understand onboarding or implementation workflows in SaaS B2B environments and how resource allocation impacts customer success.

  • You have strong organizational skills and hands-on experience with resource management software or workforce planning tools.

  • You hold a Bachelor's degree in Business Administration, Operations, Project Management, or related fields.

  • You are fluent in English (written and spoken); German is a plus given our multi-location setup.

  • You make data-driven decisions by analyzing utilization metrics, forecasting demand, and balancing capacity to optimize team performance.

  • You thrive in a fast-paced environment, managing competing priorities, navigating ambiguity, and proactively solving bottlenecks before they impact delivery.
