This role requires 2 days per week in the office and is based in Dublin, Munich or Berlin.

The Data & Systems Strategy & Operations (DSSO) team translates strategy into structured action, and clears the path for impactful delivery. We do this through two pillars: Operational Excellence — ensuring the D&S organisation runs smoothly across planning, execution, and completion — and Cross-Functional Program Delivery, where TPMs ensure initiatives get done in line with PMO best practices.

As a Technical Program Manager within DSSO, you will be the connective tissue between strategy and sprint-level execution — maintaining the golden thread from company OKRs through to the work happening in Jira every week. Communication is a continuous, intentional layer woven through everything you do.

Role Responsibilities: What You'll Do

Program Management

  • Own end-to-end delivery of medium and large-scale cross-functional programs and projects across Systems teams e.g. system migration/consolidation programs, lead to cash overhaul programs.

  • Ensure effective planning, execution, and completion of all initiatives using DSSO-standard frameworks.

  • Build and maintain program structures to measure impact, mitigate risk, raise dependencies, and promote accountability.

  • Develop and maintain schedules, governance cadences, and reporting standards across multiple project teams.

  • Communicate status, risks, and priorities clearly to all levels of the organisation to ensure alignment and visibility — not as a periodic update, but as an ongoing discipline.

  • Maintain the golden thread from company OKRs through department objectives, initiatives, Jira epics, and sprint-level execution; surface and resolve gaps where work exists without strategic anchoring.

Operational Excellence in Data & Systems

  • Work with the Senior Director of Systems and System Leads to ensure operational excellence across all D&S teams, including quarterly planning, sprint execution, progress tracking, and cross-team dependency management.

  • Support planning processes by aligning capacity, dependencies, and priorities across PODs and stakeholders.

  • Maintain execution standards through Jira hygiene enablement, progress reporting, and sprint alignment.

  • Act as Scrum Master for System POD teams.

  • Facilitate pre-sprint and bi-weekly alignment sessions to ensure programmes operate effectively and cross-functional dependencies are managed.

  • Lead retrospective and improvement sessions to identify friction points and drive process changes.

  • Ensure programmes transition into measurable outcomes through disciplined completion and learning loops.

  • Identify operational gaps or inefficiencies and implement scalable improvements to sustain long-term success.

  • Promote a culture of operational discipline, transparency, and continuous improvement.

Role Requirements: What You Need to Succeed

  • 3-4+ years of experience in technical program management or operational project roles within a SaaS business or consultancy.

  • Demonstrated ability to manage mid-to-large cross-functional technical initiatives and deliver outcomes at scale.

  • Strong understanding of system operations and program lifecycle management, with experience partnering closely with technical and business teams.

  • Experience collaborating with or supporting systems teams that leverage tools such as Salesforce, Chargebee, Zendesk, and Intercom.

  • Proven ability to maintain operational rigour across multiple projects and stakeholders throughout planning, execution, and completion.

  • Proficiency in programme governance, documentation, and agile frameworks using tools such as Jira and Confluence.

  • Ability to influence without authority — building trusted relationships, using data and social proof to make the case for change, following up with persistence, and delivering value to stakeholders before making asks.

  • Able to design and run effective working sessions — planning workshops, retrospectives, and cross-functional alignment meetings — that produce decisions, not just discussion.

  • Actively identify opportunities to use AI tooling and automation to reduce operational friction, improve visibility, and accelerate delivery across the programmes you support.

  • Stay current on emerging tools relevant to programme management and operations; bring learnings back to the team.

Preferred Qualifications

  • Experience working within or alongside Data & Systems or Operations teams in SaaS.

  • Ability to create and implement structured frameworks for planning, sprint management, and programme reporting.

  • Familiarity with agile and iterative delivery methods for cross-functional technical programmes.

At Personio, we value in-person collaboration while also offering flexibility. This role is office-based, with 2 days per week required in your contracted office location. The remaining days can be worked from home or in the office if you prefer. In addition, you’ll have 20 Flex Days per year to work remotely from other locations.
