This role requires 3 days per week in the office and is based in Munich, London or Dublin.

The People Systems & Insights team sits within People Experience & Technology and acts as the engine room for how Personio understands its own people, owning the HRIS platform, people data infrastructure, and the analytics layer that turns raw HR data into decisions. The team believes a people function should operate with the same data rigor and tooling quality as any product or engineering team, and is building that from the ground up as a small, high-trust team where everyone ships real work. Within this team, this role is an integrations and AI specialist position focused on designing and building the automation and AI layer that connects the HRIS to the rest of the People tech stack — closing gaps, removing manual work, and making the system smarter over time. You'll be hands-on from day one, working across systems, automations, and analysis, often all in the same week.

When upstream data is unreliable or a workflow creates friction, you're the one who traces it back and fixes it at the source. You'll be hands-on with tools like n8n, AI agents, and API/MCP-level integrations, actually building workflows rather than just scoping them for others; core HRIS configuration is part of the landscape you work within, but the heart of the role is what you build on top of and around it — automations, integrations, and AI-driven solutions that solve real problems for the teams you support.

You'll work closely with people across the People org to understand how they actually operate day-to-day, shaping automation and AI solutions around real needs rather than theoretical ones. Analysis — recurring reporting, ad-hoc questions, occasional deep-dives informing significant people decisions — is part of the job too, but sits alongside the integrations and automation work rather than above it. The ideal instinct is to think in systems: how things connect, where the gaps and friction points are, and how to close them with the right blend of automation and AI.

 
 

Role Responsibilities: What you'll do

  • Own the day-to-day health of our People systems, including our Personio HRIS and tools like Ledgy, Pave and Sana and the workflows built on top of them keeping everything running reliably as the organisation changes.

  • Design and build automated workflows across our People systems and Snowflake using automation and AI tooling, connecting Personio, Slack, Jira and other tools via APIs to reduce manual work and patch broken handoffs.

  • Support teams across the People function Rewards, People Ops, People Partners and others — with end-to-end automation solution design and implementation, taking a problem from scoping through to a working, maintained solution using automation tooling and AI where appropriate.

  • Act as an internal builder the People function can bring problems to, translating their operational needs into automations, apps, and data solutions that make their work faster and better.

  • Audit existing processes and integrations; spot where data quality or a workflow breaks down and fix it at the source rather than patching it downstream.

  • Take a lead role in shaping the tooling and interfaces the People function relies on, evaluating and deciding between Personio-native capabilities, MCP-based interfaces, and emerging approaches, with the latitude to define direction rather than just execute it.

Role Requirements: What you need to succeed

  • 3+ years in a people systems, operations, or insights role, contributing end-to-end and working comfortably with minimal oversight, not just executing processes handed to you.

  • Hands-on experience building real integrations with n8n or comparable automation tools (Make, Workato, Zapier), with a clear sense of when and where to leverage AI.

  • Experience working with or administering an HRIS platform like Personio or Workday, and familiarity with the specific messiness of people data — org hierarchies, effective dates, contract types, cost centres, headcount definitions.

  • Comfortable working with APIs to connect systems, confidently reasoning about how data moves between tools and where handoffs break.

  • Background in a high-growth or high-scale startup environment (Series B+), figuring things out without a playbook while processes are still being built.

  • A systems mindset: when you spot a manual process, your instinct is to understand why it exists before automating it away — paired with an AI-curious approach to solution design, spotting where LLM-based steps, MCP connectors, or agentic tooling genuinely improve a process rather than adding them for their own sake.

  • An almost unreasonable conviction around data quality — you'd rather flag a number as unverified than let it circulate unchecked — and comfort working in ambiguity, owning end-to-end delivery from scoping through shipping and iterating.

  • A strong communicator who translates operational needs into system-level solutions and findings into decisions, working directly with People Partners and senior leaders rather than just handing over output.

At Personio, we value in-person collaboration while also offering flexibility. This role is office-based, with 3 days per week required in your contracted office location.
